Community Flyers Program
Penfield Central School District recognizes the value of community organizations in supporting the educational, recreational, cultural, and social development of children and families. As a courtesy to the community, the District provides an electronic flyer (e-flyer) program to share information about approved programs, events, and opportunities.

Submit a Flyer
Eligibility
The e-flyer program is available to:
- Nonprofit organizations
- Government agencies
- Municipal recreation programs
- Community service organizations
- Youth-serving organizations that provide educational, recreational, cultural, health, or enrichment opportunities for students and families
The District reserves the right to deny any submission that does not align with the purpose of this program.
Flyer Requirements
All submitted flyers must:
- Clearly Identify Sponsoring Organization and/or Point of Contact
- Organization name
- Contact person (if applicable)
- Email address, phone number, website, or other contact information
- Meet Formatting Requirements
- One-page flyer preferred
- Submitted as a PDF
- Must be clear, legible, and suitable for electronic distribution
The following materials will not be approved:
- Commercial advertising or solicitations
- Political campaign materials
- Materials that promote discrimination, harassment, or unlawful activities
- Content that conflicts with District policies, regulations, or the Code of Conduct
- Content that directly competes with or conflicts with District-sponsored programs, activities, or events
- Materials that are misleading, inaccurate, or incomplete
The District reserves the right to request revisions prior to approval.
Submission Process
How to Submit
Organizations must complete the District's online E-Flyer Request Form and upload the flyer file.
Submission Timeline
- Requests must be submitted at least five business days before the desired posting date.
- Flyers should generally be submitted no more than three weeks before the event or registration deadline.
Review Process
All submissions are reviewed by the Office of Communications or its designee.
The District may:
- Approve the flyer
- Request modifications
- Deny the request
Organizations will be notified if revisions are required or if a submission has been denied.
Distribution
Approved flyers may be shared through one or more of the following channels, at the discretion of the District:
- District website community flyer page
- District electronic and/or print newsletters
- District calendar and/or newsroom
- School-based newsletters
- ParentSquare or other family communication platforms
- District social media channels, when appropriate
- School-specific flyers may be distributed only to the applicable school communities.
Posting Period
- Approved flyers will generally remain posted for up to three weeks, or until the event date, whichever occurs first.
- Flyers will not be posted indefinitely.
- Repeated promotion of the same event or program may be limited.
- The District may remove flyers at any time if information changes or if the posting no longer complies with program requirements.

Additionally, Penfield Central School District:

- Is not responsible for errors, omissions, cancellations, or changes related to advertised events or programs.
- Assumes no liability for participation in activities promoted through the e-flyer program.
- Reserves the right to modify, suspend, or discontinue the program at any time.
